Here is the lead you just lost. Someone sat on the lounge on a Tuesday night, filled in the enquiry form on your website, and filled in two others while they were at it. I have watched this pattern for 17-plus years, from the supplier side, the sales side, and the back office. The trade has changed enormously. You do not need the exact percentages to act on this. You already know it from your own quotes. Solar adds two pressures on top of the usual race. The first is that enquiry volume spikes hard around triggers: a state scheme announcement, a feed-in tariff change, a power bill landing after a hot summer. When everyone enquires at once, the business that can absorb that spike without dropping leads cleans up, and the business relying on manual callbacks drowns.

They are tradeable certificates, created from an eligible system’s deemed generation, that liable electricity retailers must buy and surrender to meet obligations under the Renewable Energy Target (Clean Energy Regulator, n.d.). Because the STC price floats with the market and the deeming period steps down over time, “sooner” is genuinely worth money to the customer. That is a legitimate reason to move quickly, and it is a reason you can build into your follow-up without inventing urgency.
What an enquiry auto-responder actually needs to do
Most installers who have anything at all have a single auto-reply that says “thanks, we have received your enquiry and will be in touch”. That is better than silence, barely. It acknowledges receipt and then asks the customer to wait, which is the one thing they will not do.
A response that earns the job does three things at once.
It acknowledges instantly, by both email and SMS where you have the mobile. Solar enquiries come in from phones, and an SMS that lands while they are still on your site does more work than an email they will read tomorrow.
It carries local context. A line that shows you understand the Australian scheme, the current STC mechanics, or a relevant state programme tells the customer they are dealing with someone who knows the territory. Keep it accurate and general. Reference that certificate timing affects the price rather than promising a specific dollar amount an automated message cannot stand behind.
It gives one clear next step. Not “we will call you”, which hands control back to your busiest, most distracted resource. The next step should be an action the customer takes themselves: book a site assessment, confirm a quote time, pick a slot. The whole job of the message is to move the lead one concrete step forward while they are still warm.
Instant booking is the piece almost everyone skips
This is where the real leverage sits, and where most setups stop short.
An instant booking link lets the prospect lock in a site assessment or a quote call without waiting for a callback. You have seen the consumer version of this everywhere: a calendar that shows your real availability, the customer picks a slot, it is confirmed, and it drops into your diary. Calendly-style tools do exactly this, and some job management platforms build it in directly.
The difference it makes is structural, not cosmetic. With a callback model, every lead waits on a human being free at the right moment, and that human is on a roof for most of the working day. With a booking link, the lead converts itself into a confirmed appointment at the moment of highest intent, which is the instant they finish enquiring. You have turned the slowest part of your funnel into the fastest.
The detail that matters: the booking has to feed your actual schedule, not a separate calendar nobody checks. The second is no booking option. If the next step in your reply is “we will call you”, you have handed control of the timeline to your busiest resource and bet the job on them being free at the right moment. They will not be.
The third, and the most expensive, is the multi-day delay before any human contact. The enquiry sits in an inbox while everyone is on a roof, and by the time someone replies, a faster competitor has booked the assessment. You will not win every job. But you should never again lose one simply because nobody got back to the customer in time. That is the cheapest problem in your business to fix, and the most expensive one to ignore.
